Refunds, cancellations & rescheduling

1. Eligibility overview

Fees are tied to scoped professional work defined in an engagement letter. Refunds depend on how much work has started, whether a deposit was paid, and the notice given for cancellation or rescheduling.

2. Deposits

Many engagements require a deposit (often 30–50% of the fixed fee) to reserve field dates. The deposit is credited toward the final invoice. Deposits become non-refundable once fieldwork or substantial document review has begun, except where we cancel the engagement for reasons within our control.

3. Cancellation by the client

• More than 10 business days before scheduled kickoff: deposit refunded minus any agreed out-of-pocket costs already incurred (for example, pre-booked travel inside Taiwan).
• 5–10 business days before kickoff: 50% of the deposit may be retained to cover preparation already performed.
• Fewer than 5 business days or after kickoff: deposit retained; work completed to date is invoiced at the engagement rates.

4. Rescheduling

One reschedule with at least 5 business days’ notice is usually accommodated without penalty if team capacity allows. Later or repeated reschedules may incur a rescheduling fee stated in the engagement letter or a written change order.

5. No-shows and inaccessible records

If scheduled interviews or site access do not occur because client contacts are unavailable without timely notice, that day may be billed as worked. If records remain incomplete after agreed deadlines, we may pause the engagement and invoice for work to date; restarting may require a new schedule and fee confirmation.

6. Work already started

Time spent on scoping beyond the complimentary call, document review, fieldwork, analysis, and drafting is billable. Partial refunds, when offered, deduct completed work at the rates in the engagement letter.

7. Non-refundable items

Completed deliverables (issued risk registers, control matrices, diligence memos), third-party disbursements approved by you, and retained deposits under the timelines above are non-refundable.

8. Cancellation by AI ApplicationDev

If we must cancel for reasons within our control (for example, sudden inability to staff the engagement), we refund fees paid for undelivered work, including deposits for work not started. We will help you understand what partial work product, if any, can still be delivered.

9. Refund process and timing

Email hello@ai-applicationdev.digital with your engagement reference, reason for the request, and payment details used. We confirm eligibility within 5 business days. Approved refunds are processed to the original payment method within 14 business days where the payment provider allows; bank transfers may take longer depending on your bank.

10. Recurring compliance support

Retainer visit cycles cancelled with at least 10 business days’ notice are not billed for that cycle. Visits cancelled later may be billed in full if preparation was substantially complete. Unused cycles do not automatically roll forward unless agreed in writing.
